International Projects Assistant
Reporting to: International Operations Manager
Salary: c£15,455 - £17,500 plus benefits
To assist the International Operations Manager with (a) an EU Grundtvig project, (b) an EU Asia Invest Project in Pakistan and (c) a number of smaller commercial/EU opportunities. This role is required to ensure details of contracts are adhered to and that the projects run smoothly. Most projects are related to training/human resource development
KEY TASKS:
- Assist in bringing successful conclusion to projects (including commercial opportunities) on the basis of previously agreed project plans and budgets, and in keeping with requirements as laid out in contracts.
- Understand the requirements within the complexities of contracts, carrying out various roles to ensure requirements are met.
- Cope effectively with pressures of deadlines in fulfilling contractual requirements.
- Communicate and liaise effectively, efficiently and professionally with various external contacts (these can include EU, private companies, contractors, partners, etc.), and internal contacts (different departments such as finance, compliance, etc.)
- Assist in gathering audit trails as required by the project contracts. Ensure audit trails do not cut across or damage other Exemplas project requirements.
- Assist in processing claims from partners, completing our claims to the EU and invoicing for commercial projects.
- Assist in gathering reports from partners and completing our own reports.
- Maintain friendly and effective relationships with project funders, direct, indirect beneficiaries and colleagues.
- Take an active role as a member of the wider Training and Consultancy team, providing support and assistance to other colleagues, as and when required.
- Be a point of contact for the rest of the team, particularly in taking messages, and sharing knowledge.
PERSON SPEC:
- There are no mandatory qualifications needed for the role. A good aptitude is more important at a good GCSE/NVQ3 level.
- There is some complexity in this job, requiring someone who can work through detail and not be fazed by it.
- Attention to detail will be required in the preparation of a range of project documents
- Experience in an administration role and audit-driven environment is beneficial.
- Knowledge of management development and human resource management is desirable.
- Excellent attention to detail, good numeracy, personal efficiency and diligence are essential.
